Job Summary:
We are looking for a detail-oriented and proactive Royalty Expense Manager in our Nashville, TN office to support our music publishing and record label teams. In this role, you will be responsible for the processing and tracking of artist advances, recording costs, and marketing expenses within a royalty system (IRIS) and applying recoupment level details to client royalty accounts as well as using internal tracking systems such as Monday.com and Expensify.
The ideal candidate understands the nuances of music business operations and thrives in a fast-paced, deadline-driven environment. You’ll serve as the connective tissue between A&R, digital marketing, accounts payable, and other internal stakeholders. This role ensures accuracy, accountability, and smooth communication across departments.

Duties and Responsibilities:
- Match invoices to recording budgets and add recoupment details related to recording sessions, marketing, touring, and promotion campaigns for each invoice in alignment with artist and songwriter agreements.
- Coordinate with internal departments and team members to collect and organize receipts, invoices, and payment documentation.
- Work closely with the Finance team to ensure timely and accurate processing of weekly payments.
- Collaborate with A&R and digital marketing teams to align on budgets and provide financial insight during record-making and promotional activities.
- Track spending across publishing and record label activities, ensuring all costs are accounted for accurately.
- Compile, organize, and analyze financial and operational data from multiple sources to support clear reporting and decision-making.
- Assist with vendor and royalty system account setups, requesting of W-9 forms, email addresses, and other information as needed.
Qualifications:
- 2-4 years of accounts payable and/or royalty expense processing; prior music industry experience required.
- Familiarity with industry contracts and terminology (e.g. artist advances, recoupment, royalty splits).
- Experience working with music accounting systems and/or royalty platforms (e.g. IRIS, Counterpoint, QuickBooks, Expensify, Monday.com) is preferred.
- Strong attention to detail and ability to manage multiple streams of information simultaneously.
- Comfortable working with numbers, systems, and spreadsheets—strong Excel/Google Sheets skills required.
- Excellent organizational and communication skills—especially when working with creative or less detail-oriented colleagues.
- Self-starter with a problem-solving mindset and a collaborative spirit.
Salary Range:
$50,000 – $60,000 per year (based on experience and qualifications)
